Logging an interaction
An interaction is a record of something that already happened. It’s the raw material for most of Karani’s useful reports, so the habit of logging is worth building.
From a contact profile
Section titled “From a contact profile”The fastest route. On the contact’s profile, use the Type to create a task/interaction box at the top of the Tasks and Interactions panel.
-
Type a title — what happened. “Wrote a thank you card”, “Coffee at Steadfast”, “Called, left voicemail”.
-
Choose the type — Note, Ask, Thank You, Email, Facebook, Mail, Text, Call, Voicemail, Meeting, or Service.
-
Set the date of interaction. Defaults to today; change it if you’re catching up on last week.
-
Add notes — what was said, what you agreed, what to do next.
-
Save.
By completing a task
Section titled “By completing a task”If you’d already set yourself a task to do this, just tick it off. Karani converts it into an interaction with the same title, type, and notes, dated today.
If you actually did it last Thursday, complete the task and then edit the resulting interaction’s date.
Editing or deleting an interaction
Section titled “Editing or deleting an interaction”Click the interaction in the contact’s Tasks and Interactions list. From there you can change any field, or delete it.
Deleting an interaction changes what the reports say — it can make a donor reappear as out of touch or unthanked. That’s usually what you want if the interaction was logged in error.
Logging the same interaction for many contacts
Section titled “Logging the same interaction for many contacts”“Mailed the autumn newsletter to the paper newsletter group” is one action across many contacts. See Bulk tasks & interactions.
Importing interaction history
Section titled “Importing interaction history”Moving from another system? You can bring your interaction history with you — see Importing interactions & tasks. Doing this at setup time means the out-of-touch and unthanked reports are meaningful from day one instead of six months in.
Seeing the history
Section titled “Seeing the history”Two views of the same records on the contact profile:
- Tasks and Interactions — the working list, for logging and completing.
- Communication Timeline — a chronological read with a channel filter, plus a summary of preferred channel and time since last contact.
Across all contacts, use the Interaction History report.
