Giving statements
A giving statement is a per-organisation, calendar-year record of what a donor gave. Donors download their own from the portal.
What’s on it
Section titled “What’s on it”- Your logo, if you uploaded one
- Your organisation name, address, and Tax ID
- Your letter text at the top
- Every gift in the calendar year, with dates and amounts
- The total
- Your tax disclosure at the foot
All of that comes from Settings → Donor Portal. Fill those fields in before donors start pulling statements.
Calendar year, not fiscal year
Section titled “Calendar year, not fiscal year”Statements run January to December, regardless of your fiscal year setting.
This is deliberate: statements exist for the donor’s tax return, and tax years generally follow the calendar. It does mean a statement won’t tie out to your own year-to-date figures if your fiscal year starts anywhere but January — that’s expected, not a bug.
Why this is worth turning on
Section titled “Why this is worth turning on”Statement requests arrive in January, all at once, from people who need them promptly. The portal turns that from a queue of individual emails into a link you send once.
Before statement season
Section titled “Before statement season”Worth doing in November or early December:
- Reconcile your gift records against your organisation’s. Statements are the one place donors check your numbers closely, and a discrepancy is awkward.
- Check the tax disclosure wording is right for your situation — see Turning on the portal.
- Check the organisation name and Tax ID are correct and current.
- Refresh the letter text so it’s about this year.
- Fix contacts with no email address — they can’t reach the portal.
Donors who can’t use the portal
Section titled “Donors who can’t use the portal”Some donors won’t sign in — no email address, or no inclination. For those, generate what they need yourself:
- Individual gift receipts as PDFs
- A per-donor giving breakdown from Fiscal Year Giving by Donor
- A filtered export from the Gifts Report
