Saved searches
Any advanced search can be saved and re-run.
Saving one
Section titled “Saving one”Build the search, then click Save As and give it a name.
Finding your saved searches
Section titled “Finding your saved searches”They appear in three places:
- Custom Searches dropdown at the top of the advanced search page
- My Searches on the Reports page
- The Reports panel on your dashboard
They store criteria, not results
Section titled “They store criteria, not results”A saved search re-runs when you open it, so it’s always current. Save “donors in Colorado” and it includes the donor who moved there last week.
That also means the count changes over time — which is often the point. A saved search for “prospects with no interaction in 90 days” is a working list that refills itself.
Searches worth saving
Section titled “Searches worth saving”- Donors in [your region] — for trip planning
- Prospects with no potential set — the gap in your pipeline
- Contacts with no email address — your reachability problem
- Monthly givers — however you identify them
- Everyone tagged for a particular appeal
- New donors this fiscal year — your acquisition, and the people most in need of a good second experience
Editing, renaming, deleting
Section titled “Editing, renaming, deleting”Open the saved search, adjust the criteria, and save. Rename or delete from the same place.
Deleting a saved search removes only the search — no contacts are affected.
Acting on the results
Section titled “Acting on the results”From a saved search’s results you can tick contacts and use With Selected… to add them to a group, apply tags, or change status. See Contacts overview.
Saved searches vs. groups
Section titled “Saved searches vs. groups”A saved search is a rule — membership is computed each time. A group is a fixed list — membership is what you put in it.
Use a saved search when the criteria define the set. Use a group when you’ve decided who’s in it, or when you need the export and sync features groups have and searches don’t.
